This role is responsible to provide services and support our customers in support of US domestic and global HR strategies. The role is responsible to deliver on the strategies and processes surrounding Relocation Services. This individual will partner with BHR, TA, Relocation Management Company and Management to educate on the different relocation Plans, Policies, and Processes to best support the Program and the needs of the business.
PRIMARY JOB FUNCTIONS:
Work with the Director, ATD to Achieve Team Goals : Assist the Director, ATD with advancing and improving processes by identifying best practices and by recommending process and tools enhancements, including policy reviews and recommendations, escalations of situations requiring management approval, managing expectations of client group (BHR and relocating employees) and managing inventory of homes through the home sale program in partnership with the Relocation Management Company (including home sale prices, maintenance strategies, offer acceptances and overall cost and budget management).
Champion compliance in all areas of responsibility: Responsible for supporting and maintaining compliance with applicable Corporate, Divisional and Governmental policies and procedures. Ensures that local legal requirements are identified and maintained in the standard country processes.
Adherence to Operating Standards: All roles require adherence to operating standards established by Abbott Talent Deployment including coverage during all hours of operations, business rules, processes, etc.
Anticipate the needs of the business: Understand the business, understand how Relocation works within Abbott and anticipate the needs of BHR, TA, ATD and Abbott’s relocating employees.
CORE JOB RESPONSIBILITIES:
Responsibilities include, but are not limited to:
Responsible for the calculation, tracking and execution of the high cost of living allowance (COLA) process
Responsible for ensuring that Cost Estimate calculations are done correctly and completely for each relocation and tracking these in the Relocation Database
Communicate and partner with BHR to identify potential exceptions and opportunities for proactive support for each transferee; i.e. Exceptions, Pre-Decision Services, COLA, etc
Responsible for maintaining compliance in regards to files, tracking payments, and approvals routing
Create and route communications and exceptions to leadership and BHR relating to sensitive and confidential employee data such as exceptions, home purchase status, issues, and financials
Support the audit and process relocation expenses for payment
Work with the Relocation Supplier to proactively identifying issues that could potentially derail the delivery of a successful relocation experience to the transferee. Manage stakeholders to alert them to any potential issues that could potentially impact a successful relocation and provide alternative to bypass the concern
Provide guidance and counsel to TA and BHR on the different policies and their interpretation
Work with the Director, ATD and Finance to create new strategies and improve on processes to more efficiently and efficiently manage the Relocation needs of transferees.
Collaborate with the Director, ATD to plan and prepare for process changes as needed
Escalates issues to management to minimize risks initiated by transferees
Partner and maintain relationships with the Relocation Management Company, BHR, TA, ATD, etc. to ensure that processes are completed effectively and efficiently and maintain in compliance with the highest quality
Plan, propose and recommend changes to the Director, ATD to keep our relocation services efficient and cost effective as possible, while insuring that the employee experience is of the highest quality
Participate in and support self-audits of retained records with key personnel in Abbott HR, Legal and the relocation supplier to ensure that any and all of our records can stand up to the scrutiny of an internal or external audit
Partner with our Relocation Services provider and Talent Acquisition to improve the employee experience by creating an efficient and seamless relocation experience for all candidates and Abbott employees going through the relocation process.
Manage inventory of homes through the home sale program in partnership with the Relocation Management Company (including home sale prices, maintenance strategies, offer acceptances and overall cost and budget management).
Requires excellent verbal, written, and presentation communication skills
3-5 years of working in a relocation role within a global organization
Previous experience and comfortable with interfacing with senior level management
Ability to work with tight deadlines in a multi-tasking environment
Ability to manage multiple projects at once
Mastery of Microsoft Office, Outlook and other office productivity applications
Experience working with relocation management systems
Experience in a customer service environment
Understanding of Regulatory and Compliance environment related to employees and employee documentation and
Understanding of IRS regulations relating to employee relocation and home sale programs
Project leadership or supervisory skills
Multilingual/Multicultural abilities (native, fluency or conversational) are desirable
Education and Background:
Minimum 3 years total experience of working in corporate relocation
Minimum 2 years of HR Administrative experience preferred
Bachelor's degree with emphasis in Business Administration, or other related field such as Human Resources
