This position reports to the Director of Global Regulatory for Abbott neuromodulation. This individual will interact with key internal and external stakeholders.
Assists the Directorwithmeeting arrangements, calendar management, travelarrangements, expense reimbursement, invoice processing and otheradministrativetasksasrequired.
Assists the department with administrative support for Global Regulatory projects, submission publishing and documentation legalization (e.g. notarization, apostille).
Works within the department to provide administrativesupport/project coordination tomanagersas requested.
InvoiceProcessing and logging, including coordination of submission payments to regulatory agencies such as FDA
Assist in supporting activitiesassociatedwith the monthly report process and submission tracking.
Provide general office support whichmayinclude,butarenot limited to; mail distribution,answeringtelephones, filing, catering,ordering supplies, booking meeting rooms etc.
Arrange for successful onboarding of new employees including working with facilities and IT
Organize support for departmental meetings and training, including booking meeting rooms, arranging for telepresence, and registering for webinars as needed
Assist other Regulatory employeesonanas needed basis.
Develop and format presentationmaterials.
Manage shared email inboxes, calendars, and team sharepoint
Prepare and update memoranda, correspondence and reportsas needed.
Assess organizational, communication and reporting needstoensureoptimum performance withinthedepartment.
Lead special projects asassigned.
Support all Company initiativesasidentifiedby management and in support of Quality Management Systems (QMS), Environmental Management Systems (EMS),andother regulatory requirements.
Complieswith U.S. Food and DrugAdministration (FDA) regulations, other regulatory requirements, Company policies, operating procedures, processes, and task assignments. Maintains positive and cooperative communications and collaboration with all levelsof employees, customers, contractors,andvendors.
Performs otherrelated duties and responsibilities, onoccasion,asassigned.
Minimumoffive plus yearsofadministrativeexperience.
Experiencedin providing administrative support to leaders at the top level ofanorganization.
High School graduate required,bachelor’sdegreepreferred.
Proficientinthe use of the Microsoft Office Suite products (i.e. Outlook, Word,Excel,as well asVisio,PowerPoint, Project) and Adobe Acrobat Professional.
Proficientinthe use of general office equipment (e.g. fax, copier, laptop, telephone, calculator, etc.)
Excellentinterpersonal,written and verbal communication skills.
Demonstrated ability to handle difficult situations and/or communications tactfully andprofessionally.
Ableto maintain strict confidentiality.
Abletoworkwith people atall levels oftheorganization.
Ability to handle multiple priorities and operate with a sense of urgency asrequired.
Possesses excellent judgment and the initiativetomakeindependentdecisions.
Experience working in a broaderenterprise/cross-division business unit model preferred.
